Join & Host Meetings
Step-by-step guide to participating and hosting CloudPLAY Meet video sessions.
Join as a participant
- Open the link — from email, calendar, or chat.
- Enter your name (guests) or sign in (if your company requires it).
- Choose devices — select camera, microphone, and speaker from the preview screen.
- Join — you may wait in a lobby until the host lets you in.
- Use toolbar buttons:
- Mute / unmute
- Start / stop video
- Share screen — choose a window or entire screen
- Chat — send text to everyone or the host
- Leave — exit the meeting
Guest without an account
External clients can join with only the link and their name. Do not share meeting links publicly if the discussion is confidential.
Host a meeting
Before the meeting
- Test your camera and microphone.
- Close sensitive windows before sharing your screen.
- If recording, tell participants at the start.
During the meeting
- Admit people from the lobby when the notification appears.
- Mute all for large webinars during presentations.
- Remove or mute disruptive participants if needed (host controls).
- Use screen share for slides; return to camera when discussing.
After the meeting
- End the meeting for all when finished.
- Download chat log or recording only if your company policy allows.
Passwords and security
Some rooms require a password from the invite. Do not forward invites outside the intended audience.
For highly sensitive topics, your IT team may enable stricter options — follow their instructions.
Troubleshooting
| Problem | Try |

| Can't hear others | Check speaker device; raise volume; ask host to confirm you are unmuted |
| Others can't hear you | Unmute; check browser mic permission; try another browser |
| Video frozen | Turn off video; move closer to Wi‑Fi router |
| Can't share screen | Grant screen-share permission in browser settings |
| Stuck in lobby | Message the host; confirm you have the correct link |
Reload the page once before calling support. Include browser name and whether you are on VPN when asking for help.
