Sales & Orders

Create quotations, sales orders, and track deliveries in CloudPLAY ERP.

This guide covers typical sales and warehouse tasks. Your company may use different document names or approval steps.

Create a quotation

  1. Open SellingQuotation (or SalesQuote).
  2. Select the Customer.
  3. Add Items with quantities. Prices usually fill in from the price list.
  4. Check delivery date and payment terms.
  5. Save and Submit when ready to send.

To email the quotation, use Send or Print — whichever your organisation uses.

Convert a quotation to a sales order

When the customer accepts:

  1. Open the submitted quotation.
  2. Click CreateSales Order (wording may vary).
  3. Review quantities and dates, then submit.

Check order status

Open Sales Order and use filters:

  • To deliver — waiting for warehouse
  • To bill — delivered but not invoiced
  • Completed — fully delivered and billed

Click an order to see line items, delivery notes, and linked invoices.

Warehouse: pick and deliver

If you fulfil orders:

  1. Open the Delivery Note or pick list created from the sales order.
  2. Confirm quantities picked match what is on the shelf.
  3. Submit the delivery note to reduce stock and mark goods as shipped.

If stock is short, the system may show a backorder or block submission — notify sales or purchasing per your company's process.

Check stock levels

  1. Go to StockStock Balance or Item list.
  2. Search for the item code or name.
  3. View quantity by warehouse if your company uses multiple locations.

Need help?

  • Wrong price or customer? Ask sales admin to update master data.
  • Cannot submit? You may need approver action — check workflow status on the document.
  • Missing module? Request access from IT.
